  1. Welcome Dawn to her first meeting
  2. Updates
    1. juvenile collection in place;waiting for end panels, tables, and siganage
    2. bound journal shift in progress - Mark and Linda coordinating; minor shifts have happened;larger shifts about to start
    3. J - K shift - is finished but some tweaking will take place
    4. former juvenile dewey shelving will be left in place for now; will add appropriate signage to "empty area"
    5. adding a row to the P's - Mark and Madeleine will work on a plan and implement as possible
  3. Course Reserves - Dawn and Carolyn working hard to get course lists processed and materials on shelf.  If you get a question from a faculty member about the status of a request and neither Dawn or Carolyn is around; check in their office as all work in progress will be filed in a "cubbie" marked with the faculty member's name and course number.  There is also a spreadsheet on top of cubbie cabinet that has most recent status listed.
  4. A/V Media Room - small group rooms will be left unlcoked but staff will need to check to make sure door is left closed.  Discussion about what to do when students want/need into room but didn't bring their ID-what's our philosophy and our response?  What do we do with material checkout?
    1. Everyone agreed that checkout of items was a little different than gaining access to a secured space or to special materials such as reserve materials.
    2. With checkout, staff either offers use of 24 hour hold shelf or, if necessary, may checkout with a valid driver's license.  Staff will put note in patron record to try to head off abuse.  If situation is a little more intricate or involved, i.e. it's a Friday night and student needs material but can't get new ID until Monday, staff makes a good faith decision and lets supervisor know what transpired.
    3. With access to secured space staff felt that there should not be exceptions since we do not let students into grad lab.  If a situation warrants a different decision, staff has authority to make it and will let supervisor know.
    4. Staff response to public "complaints" about no access to A/V Media room we agreed to share the folliwng reasons, if necessary.  Our viewing space is limited by the equipment we own and there was very heavy demand.  Rstricting access to the UNCW community ensures that students will have a way to view movies when assigned.  More and more faculty are requesting that students watch all of part of a movie and many students prefer to take care of that while in the library.
  5. Building operating hours for fall semester - as posted on the web.  Will not be a version of 24/7 but this proposal will be made again.
  6. CPR/AED training - three more members of the staff are scheduled to take the next training.  No one has received their certification cards to date.
  7. Staff reminded that no one should checkout/checkin their library materials and that goes for students as well.  Madeleine indicated she would hold fast to this rule as it is the way to avoid any comflict.  Also mentioned was that if staff members needs change for their personal moneys they should ask someone else to give them the change-again this is to avoid any semblance of impropriety.  There have not been questions or accusations but this will help avoid those.
  8. Juanita's new responsibilities with ILLiad/Document Delivery.  Juanita will be working with document delivery processing and actual delivery and she will be trained in all phases of this process.  The plan is to have her spend 12-12 hours/week on these duties and training will start next week, when she returns from a few days off.
  9. Issues introduced and to be followed up on:
    1. Guests are not keeping their computer use cards and staff is constantly having to re-issue cards.  They suggest adding a charge for a lost card.
    2. Staff report getting called by Librarians to unlock a door, help a guest log in at guest computers when they are the only person at the desk. and Madeleine responded that she would bring this up at a meeting of library faculty and share that on weekends particularly, circ staff are running a solo show and may not leave the desk.   Also, a librarian referred a faculty member needing copies of article to the circ desk and the faculty member reportedly said that circ staff could make those copies for him.  Madeleine responded that she would discuss this as well and share that the staff is not charged with that duty and more often than not cannot accommodate that kind of request.  ILL/DD staff are responsible for processing those requests when made through ILLiad but there is no mechanism in place for faculty who need copies immediately and are unable/unwilling to spend the time accomplishing that.
    3. Dawn suggested that we find or order a book drop to be place in the juvenile collection area in order to encourage users to place books there rather than reshelving them.  Madeleine will follow up.
